Reformed Pilates - Terms of Service

As our sessions are intentionally limited to 6 participants, each reservation holds a dedicated place within the class. We kindly ask clients to review the following guidelines so that availability may be managed thoughtfully and fairly for everyone.

 

Cancellations & Rescheduling

Advance Cancellation

We kindly request that any cancellations be made at least 24 hours prior to the scheduled start time. This allows us to make the reserved place available to another client and helps us manage class availability fairly for everyone. Your session credit will remain available in your account for a future booking.

Late Cancellation

Cancellations made within 24 hours of the scheduled session will be considered a late cancellation. As our classes are intentionally limited in size and the reserved place may no longer be offered to another client at short notice, the session credit will be processed as used and cannot be returned, transferred, or refunded.

Rescheduling

Reservations can be moved to another available session with at least 12 hours notice prior to the scheduled start time. Requests made within 12 hours of the session cannot be rescheduled. As the reserved place has been held specifically for you and may no longer be offered to another client at short notice, the session credit will be processed as used and cannot be returned, transferred, or refunded.

No Show

If a client does not arrive for a reserved session and the studio has not been notified in advance, the booking will be recorded as a no-show. As the reserved place has been exclusively held and remains unavailable to other clients who may have wished to attend,  the session credit will be processed as used and cannot be returned, transferred, or refunded.

Notification
All cancellation or rescheduling requests must be made before the session start time through the booking system or by contacting the studio directly. Messages sent after the class has begun cannot be accommodated.

 

Late Arrival & Entry

Timeliness

To allow time to settle in and prepare for movement, we recommend arriving approximately 5–10 minutes before your scheduled session. Classes begin on time to ensure a smooth and attentive start for everyone.

Late Entry

Entry will not be permitted for clients arriving more than 10 minutes late.

The opening portion of each class includes guided preparation and essential warm up work. Entering after this point may increase the risk of strain or injury and disrupt the instruction and experience of other participants.

As the reserved place has been held specifically for you and the instructor has prepared for the session, the session credit will be processed as used and cannot be returned, transferred, or refunded.

 

Classroom Etiquette

Attire

We recommend wearing comfortable activewear that allows you to move freely and comfortably throughout class.

Grip socks are required for all sessions for both hygiene and safety purposes and must be worn at all times while using the equipment.

To help maintain a clean and comfortable environment for all participants, we kindly ask that outdoor footwear be removed before entering the studio space.

Photography & Filming

To maintain a comfortable and respectful environment for everyone, we kindly ask that photography and filming be kept mindful of other clients, instructors, and the overall class experience.

Please ensure that other participants are not photographed or recorded without their consent. Clients who prefer not to appear in photographs or videos should feel comfortable attending class without concern for their privacy.

Photography and filming should not interrupt instruction, delay the start of class, disrupt the flow of the session, or compromise the safe use of equipment.

As our classes are shared experiences, the comfort and wellbeing of all participants will always take priority over content creation. The studio reserves the right to request that photography or filming be limited or paused where it may affect the privacy, safety, or experience of others.

Health Considerations

Certain injuries, medical conditions, or physical limitations may not be suitable for a group reformer class and may require more individual support than we are able to provide within a group setting.

If you have a recent injury, have undergone surgery, are currently receiving medical treatment, or have any concerns regarding your ability to exercise safely, we kindly ask that you seek advice from a qualified healthcare professional before attending.

Please inform the studio of any relevant injuries, medical conditions, or physical limitations prior to class so that we may better understand your circumstances and determine whether our classes are suitable for you.

For the safety and wellbeing of all participants, the studio reserves the right to decline participation where a group class environment may not be appropriate. Where possible, we will always do our best to discuss any concerns with you beforehand.

 

New Clients

If this is your first class, we kindly ask that you arrive approximately 5–10 minutes before the scheduled start time.

This allows the instructor to welcome you to the studio, provide a brief introduction to the Reformer equipment, and guide you through any essentials before class begins.

Arriving early helps create a safe and comfortable experience while ensuring a smooth start for both you and the rest of the class.

 

Minimum Age Requirement

For safety reasons, clients must be at least 14 years of age to participate in group classes.

Clients under the age of 18 must have consent from a parent or legal guardian before attending.

As Reformer Pilates involves specialized equipment and instructor-led movement, participation may not be suitable for every young person. If there is any uncertainty, we encourage parents or guardians to contact the studio before booking.

 

Pregnancy

As our classes are conducted in a small group setting and are not specifically designed for prenatal exercise, we are unable to accommodate clients who are pregnant within our regular group classes.

Pregnancy often requires individual exercise considerations, modifications, and supervision that cannot be appropriately provided within a group class environment.

For the safety and comfort of both mother and baby, we kindly ask that pregnant clients refrain from attending group sessions and contact the studio directly should they require further guidance.

 

Emergency Exceptions

We understand that unforeseen circumstances may occasionally arise and that emergencies are sometimes unavoidable.

In genuine cases of emergency, such as sudden illness, accidents, or urgent personal matters, exceptions to the policies outlined above may be considered at the studio’s discretion.

We kindly ask that such situations be communicated to us as soon as reasonably possible so that we may better understand the circumstances and assist where appropriate.

To ensure fairness and consistency for all clients, supporting documentation may be requested in certain situations.

Emergency exceptions are intended for rare and unforeseen circumstances and cannot be extended to repeated cancellations, lateness, or scheduling conflicts.
